|Pre-bid meeting:||Interested Proponents are required to attend a mandatory site meeting at 160 Neptune Drive South on September 26, 2018 commencing at 1:30 pm to familiarize themselves with the Project and ascertain the full extent of the work required. Proponents will meet adjacent the tennis courts in the arena parking lot.. Site meetings will not be available at any other times.|
Proponents must sign in with the City’s representative at the mandatory site meeting at the designated date and time for their submissions to be considered. Individuals attending the meeting must sign in and clearly indicate on the sign in sheet the name of the firm they are representing.
Proposals submitted by Proponents that do not attend the mandatory site meeting SHALL be declared non-compliant.

Scope of work:
The scope of work shall include but not be limited to the following:
The Vendor is required to provide full professional and technical services, including stakeholder and community consultation, concept design, detailed design, contract document development including drawings and specifications, etc. permit application, construction supervision and contract administration to carry out the tasks as outlined below.
The Vendor is required to review all documents, drawings, cost estimates, specifications and all materials to be presented to the public during public consultations and/or via the web with City staff and stakeholders and refine as required.
Construction and quotation call documents will be prepared to the level of detail, standard and quality required by PF&R staff, and the park quotation call will be issued through the City’s Purchasing and Materials Management Division (PMMD).
The exact scope of work shall be determined in consultation between various stakeholders including the public, the Councillor's office, various internal City departments, and the landscape architect's team. The scope of work is limited to the overall budget and the Proponent shall assist the City in determining the final scope of work to protect for the potential future road alignment, while at the same time providing the most impact for the allotted funds. As best as possible, facilities recommended for construction shall work equally, whether or not the future road extension takes place.

Bidding, Tendering, Contract Administration, and Warranty Period Review
